1. Who we are & our Privacy Officer

Everleigh Naturals is a wholesale shea butter importer and distributor based in Bradford, Ontario, Canada.

We have designated a Privacy Officer responsible for our compliance with this policy and applicable privacy law. You can reach them using the contact details in Section 14.

2. Information we collect

We only collect personal information needed for the purposes described below. This may include:

• Contact & business details you submit through our quote, wholesale application, or contact forms — name, business email, phone, company name, website, location, and the content of your message.
• Order & enquiry details — products of interest, quantities, packaging, delivery location, timeline, and estimated volumes.
• Wholesale account information (portal) — company profile, contact person, pricing tier, quotes, orders, and documents associated with your account.
• Technical data — IP address, browser type, and usage data collected via cookies and analytics (see Section 6).
• We do not intentionally collect sensitive personal information (such as financial account numbers, health, or government IDs) through this website, and ask that you not submit it via our forms.

3. How we use your information (purposes)

• To respond to your quote requests, wholesale applications, and enquiries.
• To provide wholesale pricing, samples, quotes, orders, and documentation.
• To manage approved wholesale accounts and the customer portal.
• To communicate with you about your account, orders, and — with your consent — relevant products and updates.
• To operate, secure, and improve our website.
• To meet legal, tax, and regulatory obligations.

4. Consent

Under PIPEDA and Quebec's Law 25, we collect, use, and disclose personal information with your knowledge and consent, except where permitted or required by law. By submitting a form, you consent to us using your information for the purpose it was provided.

You may withdraw consent at any time (subject to legal or contractual limits) by contacting our Privacy Officer. Withdrawing consent may limit our ability to provide certain services.

5. Commercial electronic messages (CASL)

We send commercial electronic messages (such as marketing emails) only where we have your consent or another lawful basis under CASL. Every marketing message includes a clear way to unsubscribe, and we honour opt-out requests promptly.

Transactional messages — replies to your enquiries, quotes, and order/account communications — may be sent as part of providing the service you requested.

6. Cookies & analytics

We use a small number of cookies to make the site work and to understand usage:

• Essential cookies — remember your language preference and, in the wholesale portal, keep you signed in. These are required for the site to function.
• Analytics — where enabled, we use privacy-respecting analytics (e.g. Google Analytics 4) to understand aggregate traffic and improve the site. You can block cookies in your browser settings.

7. Service providers & disclosure

We share personal information only with trusted service providers who help us operate, and only as needed. These may include our website host, email delivery provider, customer-relationship (CRM) platform, and analytics provider.

We do not sell your personal information. We may disclose information where required by law, to enforce our agreements, or to protect our rights, safety, and property.

8. Cross-border transfers

Some of our service providers may store or process data outside Canada, including in the United States. Where this happens, your information may be subject to the laws of that jurisdiction. We take reasonable steps, through contractual and security measures, to ensure a comparable level of protection, consistent with PIPEDA and Law 25.

9. Retention

We keep personal information only as long as necessary for the purposes it was collected, to maintain business records, and to meet legal, tax, and regulatory requirements. When no longer needed, we securely delete or anonymize it.

10. Safeguards & security

We protect personal information with appropriate physical, organizational, and technical safeguards — including access controls, encryption in transit, and limiting access to those who need it. No method of transmission or storage is completely secure, but we work to protect your information and to respond promptly to any incident.

11. Your rights

Subject to applicable law, you have the right to:

• Access the personal information we hold about you and request a copy.
• Request correction of inaccurate or incomplete information.
• Withdraw consent or unsubscribe from marketing communications.
• Request deletion of your information, where applicable.
• Under Quebec's Law 25, request portability of certain information and be informed about automated decision-making (which we do not currently use).
• Make a complaint to us and, if unresolved, to the Office of the Privacy Commissioner of Canada (OPC) or the Commission d'accès à l'information du Québec (CAI).

12. Data breaches

If a breach of security safeguards creates a real risk of significant harm, we will notify affected individuals and the relevant authorities as required by PIPEDA and Law 25, and keep records of breaches as required.

13. Children's privacy

Our website and services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children.
